Are you an organized and detail-oriented professional with a passion for customer service and administrative support? We are looking for an Office Coordinator to join our team! In this role, you'll be the first point of contact for visitors and play a key role in ensuring smooth office operations.
Key Responsibilities:
Greet customers, clients, and visitors warmly, providing assistance as needed.
Answer phone calls and direct them to the appropriate person or department.
Handle incoming and outgoing mail, including courier packages.
Facilitate communication between employees across different departments.
Process and distribute letters, documents, and messages efficiently.
Record and address complaints, problems, and inquiries with helpful solutions.
Receive phone and fax orders, ensuring accurate processing.
Prepare and process shipping orders.
Perform data entry for orders, invoices, and bills of lading.
Arrange travel and accommodations for employees and clients.
Maintain records of office visits and entry/exit details.
Manage cash collection and deposits when necessary.
Schedule appointments and coordinate meetings for clients and employees.
Provide outstanding customer service to ensure satisfaction.
Perform other administrative duties as assigned.
Qualifications & Skills:
Proficiency in Microsoft Office (Word, Excel, Outlook, and Access).
Strong customer service skills with experience in data entry.
Ability to work efficiently in a fast-paced team environment.
Exceptional attention to detail and multitasking abilities.
Excellent verbal and written communication skills.
Bilingual (English/Spanish) is a plus.
Strong organizational and coordination skills.
Proactive and problem-solving mindset.
Comfortable using computers and telephones for daily tasks.
Education & Experience:
High school diploma required.
Associate's or bachelor's degree preferred (or equivalent experience in office administration).
Previous experience in an administrative or front office role is a plus.
